What is Clipboard?

A solution designed for wealth managers and financial advisors that captures client data securely and saves directly into their CRM / backend.

Designed for client meetings, Clipboard improves the experience for both advisor and client.

Available as an iPad app or on any device via browser (Web).

Why use Clipboard?

Customisable and secure, this modern platform makes it easy to onboard clients and automate manual admin tasks.

How does Clipboard work?

Add new clients or pull existing records from your CRM straight to Clipboard and complete or update a factfind wherever you are. Work offline* if needed and sync data to your CRM the next time you have Internet connection.

Every practice works differently and we want to be as flexible as possible with our pricing.

Access

Who is Clipboard for?

The solution has been designed for advisors to use during client meetings. 

Can admin staff access Clipboard?

Although designed for advisors, we understand that admin staff may need access to clients’ records on an ongoing basis.

Our Clipboard Web option can be accessed by support staff, although they will need an advisor’s code assigned to their account for syncing purposes. Please contact us at support@digitalclipboard.com if you have any questions.

What hardware / software do I need to use Clipboard?

The Clipboard app can be accessed on any Apple iPad (9.7″ or larger) that runs on iOS 10.03 or later.

Some functionality in the app requires use of an Apple Pencil which certain iPad models don’t support. You can find the full list of models compatible with Apple Pencil here.

Clipboard Web can be accessed on any device via browser. Our technology is compatible with all the major browsers – Chrome, Safari, Firefox and Microsoft Edge which is the replacement for Internet Explorer. 

Your device needs to be logged into SJP’s VPN service to access Clipboard.

Will you build the app for other tablet devices?

Clipboard Web has been released to accommodate for all other devices, including Microsoft Surface Pro and desktops.

Can I use Clipboard on my mobile phone or desktop?

Clipboard Web can be accessed on any device as long as it’s connected to SJP’s VPN service.

Do I need a Curo licence to use Clipboard?

No, you don’t need Curo to use the app as we now connect to Salesforce. Once your account has been set up, you’ll be able to fetch client records from and sync to the CFR in Salesforce. 

How do I access Clipboard?

The Clipboard app is available on the SJP App Store as part of the Digital Clipboard Professional plan or higher.

Once you download the app on your iPad device, you’ll just need to create an account to get started.

Clipboard Web is accessible via premeet.sjp.co.uk. Once your account is set up, simply search for an existing client and open the record in Clipboard Web, or create a new client and select the ‘View / Edit’ option on the record.

How can other advisors in my practice access Clipboard?

If you and other advisors in your practice are already signed up on an eligible Digital Clipboard subscription (Professional* or higher), and part of the same team**, you can all download the app from the SJP App Store and sign in using your SJP login details.

For Clipboard Web, all team members will gain access via premeet.sjp.co.uk.

*There is a limit of 2 users on the Professional plan.

**A user with an Owner or Admin role can change plans and invite other members of the practice to join the team in their account settings.

Data security

Is data transferred and stored securely?

We plug into SJP’s environment (via Ivanti Go) so all data is secure within SJP’s systems.

Where does data sync to?

If you create a new client record in Clipboard, a new prospect record will be created in Salesforce.

Clipboard data syncs to fields where available or Notes sections in Salesforce.

Features

What is the Clipboard homepage?

A dedicated in-app homepage, you can create new client records or pull existing clients to carry out or update a factfind and keep track of client information. All added clients will appear here.

How do I add a new client record?

You can use the + Add New Prospect (app) or + Add new client (Web) button on your homepage to create a new prospect record. You’ll be prompted to enter some of the client’s details to go through the lead management checks in Salesforce before you can successfully create the record on our system and in Salesforce.

How do I add an existing client record?

Clipboard enables you to search for a client that exists in your CRM, fetch the record and update details that sync back.

Please use the Search bar on the top-right of your homepage to find and pull an existing record.

How do I sync data to my CRM?

Clipboard app

Once you’re done filling in / updating a client’s record, tap on Sync & Exit on the top-left of the screen to return to your homepage. This will automatically start the syncing process to your CRM. 

Clipboard Web

The Web version will automatically sync details to the CRM field-by-field. Once you’ve entered details into a field and move onto the next field, the previous field will start syncing across.

How do I make notes?

Clipboard’s handwriting tool explained

*You’ll need an Apple Pencil to make best use of this feature in the app, and your tablet’s stylus on other devices.

What?

Digital handwriting for natural data capture during client meetings.

Where? 

Find this feature in the Objectives card as well as in all other cards when you select the Notes icon on the bottom right corner of the screen. 

Toolbar

You’ll find the toolbar at the bottom of the screen in the Objectives card and a limited version in the Notes section of all other cards. The toolbar in Objectives consists of handwriting, keyboard, drawing, maths calculation, photo, erase, undo and redo. Read on to find out how each function works. 

Handwriting – for those who like to write

*You’ll need an Apple Pencil to use this feature, and your tablet’s stylus on other devices

  1. Select the pencil icon from the toolbar at the bottom of the screen
  2. Use your Apple Pencil / stylus to write on the lines like you would with pen and paper. You’ll see a conversion bar appear as you write so you can see what the function has detected
  3. Once you’re happy to convert your notes into a typed format, simply use your finger (not the pencil) to double-tap on the text
  4. If you’ve made a mistake, you can use the erase, undo or redo buttons in the toolbar

Tip: Why not try using your Apple Pencil to ‘scribble’ out any mistakes / remove text and watch it disappear!

Keyboard – for those who like to type 

*You can use this feature with a smart keyboard attached to your tablet device or the on-screen keyboard.

  1. Select the Aa icon from the toolbar and type away
  2. Once you’re done, tap on the Save button to see your text appear in that section
Drawing – add some visuals to your meetings (app-only)

*You’ll need an Apple Pencil to use this feature

  1. Select the scribble icon from the toolbar
  2. Use your Apple Pencil to draw within the box that appears on screen
  3. You can use the erase, undo and redo buttons from the toolbar for any mistakes
Maths calculation – make calculations on the fly (app-only)

*You’ll need an Apple Pencil to use this feature

  1. Select the maths symbols icon from the toolbar
  2. Use your Apple Pencil to write your calculations into the box that appears on screen
  3. When you’re ready to get the result, use your finger (not the pencil) to double-tap in the box to convert
  4. You can use the erase, undo and redo buttons from the toolbar for any mistakes

Tip: Why not try using your Apple Pencil to ‘scribble’ out any mistakes and watch it disappear!

Photo – capture items for reference (app-only)
  1. Select the photo icon from the toolbar
  2. Choose the Take Photo option to activate your device’s camera and capture any images on the go during your meeting
  3. The Open Library option will access your device’s photos if you wish to add any images from your own photo library
  4. Your image will appear in whichever Notes section you’ve activated the photo tool from

*Any images added to the Objectives card are currently only stored in-app and will not sync to your CRM

How do I create a Letter of Authority (app-only)?

Once you enter the relevant information in a financial section of the app (Assets, Liabilities, Pensions or Protection), a Letter of Authority will be automatically generated.

  • Add the required fields (Type and Provider) in Assets, Liabilities, Pensions or Protection
  • A Letter of Authority will be pre-populated and automatically appears in the Letter of Authority section
  • Your client can sign directly on the document using an Apple Pencil

A provider does not accept digital signatures on a Letter of Authority.

If a provider doesn’t accept digital signatures, you can leave the document unsigned and email it as a PDF for a wet signature. Just click on the Email button in the Letter of Authority section and select the document(s) to send.

Can I use the app for review meetings?

With two-way integration, you can capture data on new clients as well as update existing clients’ details straight from the app.

Tip: Use the Summary section to conduct your client review meetings – review all details you hold on a client from here and navigate to different sections that need updating as necessary.

Does the app work offline?

The Clipboard app allows you to capture data offline and will sync to your CRM as soon as you’re back online. Don’t worry, any information you’ve added to a client’s record will be safe in the app until then.

Tip: If you wish to use the app during a client meeting, make sure you first pull the client record into the app when you’re in a location with good Internet connection.

Unfortunately, Clipboard Web doesn’t work offline as you’ll need to be connected to the Internet on your browser at all times to use the service.

Can I customise the app for my practice? 

There are some customisable branding elements on the Clipboard app. You can add these via your Pre-Meeting settings under Team Account > Practice Branding.

Are you building other products to complement the factfind process?

We’ve already launched our remote factfind gathering solution, Pre-Meet, designed to work alongside Clipboard.

We’re continually looking to add complementary products to our offering, providing even greater value for your business.

How can I learn how to use the app?

We’ve found the best way to learn how the app works is to try it out for yourself.

We’ve added an in-app tutorial to help you get started, providing a hands-on guide to the main features of Clipboard as soon as you’ve signed in.

You’ll also find two demo client records (single and joint accounts) on your homepage. You can use these to explore the different features and familiarise yourself with how it all works.

We recommend that you spend some time in these records to learn how you’d like to use the app with your practice’s workflow.

Don’t worry, the demo records live in your app only and won’t affect any of your CRM data. Please note that you won’t be able to test syncing to the CRM on these.

General Data Protection Regulation

The General Data Protection Regulation (GDPR) came into effect on Friday 25 May 2018. It is an evolution in how we manage and control personal data, building on the existing principles of the Data Protection Act to reflect the increase in data usage as new technologies continue to develop.

Action will be needed at each Partner Practice over the coming months to take stock of the personal data you hold and ensure you meet the new requirements, in order to keep your business and clients’ personal data safe. We have broken these down into a series of learning modules and activities which provide guidance on how to prepare for the changes the new regulation will bring.

We have broken the requirements of the General Data Protection Regulation down into a series of MyDevelopment learning modules, which provide guidance on how to prepare for the changes the new regulation will bring.

Plans and pricing

How much does Clipboard cost?

Every practice works differently and we want to be as flexible as possible with our pricing.

Clipboard is available from the Professional plan and up – you can find plans and pricing details on the Pre-Meet website under Pricing.

How do plans work?

Our plans are based on usage to provide flexibility as your practice grows. Just decide on the features you’d like and select the number of clients you meet with each month.

A client engagement in Clipboard is counted when you sync a record back to the CRM. Don’t worry if you use up engagements in a given month, we’ll hold your records until you upgrade or your monthly usage resets.

Can I change my plan at any time?

Yes, the Account Owner can upgrade or downgrade at any time via the Billing & Usage settings in their Pre-Meet account. If you choose to upgrade, you’ll pay a pro-rated amount for the rest of the month.

If you move to a lower plan than Professional, you’ll no longer have access to Clipboard once the billing period ends and your lower plan subscription starts.

Can I get a free trial?

Once your practice signs up for a Digital Clipboard subscription on the Professional plan or higher, you’ll automatically start on a 30-day free trial to explore Clipboard at no cost.

Please note that the free trial period is valid per practice, not per individual user.

How will I be billed?

The service is available on an annual / monthly subscription which is charged to the practice via your SJP Partner account. The Account Owner in your team is the billing account holder. 

How do I cancel my subscription? 

The Account Owner can change the existing plan to Free via the Billing & Usage settings in their Pre-Meet account. This will remove all existing members and the practice will no longer be charged after the current billing period passes*.

The Account Owner will remain on the free account.

If you’re on the Professional plan or higher, you will also lose access to the Clipboard app.

If you’d like to remove your account permanently, or are experiencing any issues, please drop us a message at support@digitalclipboard.com and a member of our team will get back in touch.

*With monthly or annual subscriptions, your charge is on the first day of the period. If you choose to cancel at any point during the period, you’ll continue to receive your existing plan benefits until the end of the period. For a monthly subscription, this will be until the end of the monthly billing period; for annual, until the end of the annual billing period. Please note that we do not provide refunds for unused subscription time.

How can I rejoin?

We’d be delighted to welcome you back! 

If your practice’s account still exists on a Free plan, the Account Owner will be able to upgrade to any plan via the Billing & Usage settings in their Pre-Meet account. They can then re-invite users to the team in their Team Account settings.
